Once you’ve figured out your ceremony with your marriage celebrant, it’s time to plan your reception.
Where will you have the event? How many will you invite? And how can you organize all the little details, from food to flowers to music?

Don’t worry—we’re here to help. Read on for our quick wedding reception overview checklist that’s sure to make your life easier!

Start With The Venue

Once you’ve selected your wedding date, your first step is to secure a reception venue. If you have your heart set on a particular place, your wedding date might even depend on when the venue is available.

Verify that your chosen venue offers everything you’ll want and that your vendors will have access to the site when they need it. Schedule any tours, tastings, or walk-throughs well ahead of your big day.

The day before the reception, make arrangements to drop off wedding favors, place cards, the guest book, or other small items to include with the setup.

Select Your Food & Beverages

If you’re hiring a caterer or chef for the reception, schedule the menu tasting well in advance so you can make changes if necessary.

Will you offer alcoholic beverages at your reception? Will it be an open bar, or will guests pay for their drinks? These are all details you’ll need to discuss with your F&B provider.

You’ll also need to give the final head-count to your caterer so they’ll know how many guests to cook for. Of course, you’ll also enjoy picking out the perfect wedding cake or other desserts for your reception.

Narrow Down Your Music Selection

Your next step is to hire a DJ or band for your reception. Put together a list of “must-play” songs, as well as any popular songs you don’t wish to include.
If you haven’t already, this is also the time to select songs for your first dance, father-daughter dance, and other classic options.

Hire a Photographer & Florist

Will you want only a photographer for your reception, or also a videographer? Spend time finding one whose style resonates with you and book their services well in advance.

You’ll also need to hire a florist and confirm the number of bouquets, boutonnieres, and centerpieces you’ll need for the reception. This is also the time to arrange for any other rentals you may need, such as chairs, a dance floor, or a tent.
